1. Introduction

Welcome to ThrottleBot. This Privacy Policy describes how ThrottleBot ("we," "us," or "our") collects, uses, and discloses information when you use our web application (the "App") integrated with HubSpot. We are committed to protecting your privacy and ensuring you understand how your data is handled.

By using ThrottleBot, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

2.1. From HubSpot (Via OAuth)

When you connect ThrottleBot to your HubSpot account, we request access to specific information necessary for the App's functionality. This includes:

  • **Authentication Data:** Your HubSpot User ID, Portal ID, and access tokens required to maintain a secure connection and make authorized API calls on your behalf.
  • **Workflow Data:** Access to view your HubSpot Workflows, allowing you to select which workflows ThrottleBot should manage. We do not modify the structure or steps of your workflows.
  • **List Data:** Access to view your HubSpot Lists (static and active) to allow you to select source lists for throttling and to read the membership count and basic contact IDs within those lists. We do not modify your lists.
  • **Contact Data (Limited):** Access to read basic contact identifiers (e.g., Contact ID, Email Address) from your selected lists to perform metered enrollment into workflows and prevent duplicates. **We do not read, store, or process any sensitive contact properties (e.g., name, company, deal data, custom properties) from your HubSpot portal.**

2.2. Directly from You

  • **Account Information:** When you register for ThrottleBot, we may collect your email address and basic user profile information.
  • **Configuration Data:** Information about how you configure ThrottleBot, such as daily caps, time windows, selected lists, and workflows for each throttle rule you create. This data is essential for the App to function.

3. How We Use Your Information

We use the collected information primarily to provide, maintain, and improve ThrottleBot:

  • To **power the core throttling mechanism** (metered enrollment of contacts into HubSpot Workflows).
  • To **display your HubSpot Workflows and Lists** in the ThrottleBot dashboard for selection.
  • To **track throttle progress** (e.g., contacts sent vs. daily cap, cycles completed).
  • To **manage your ThrottleBot account** and provide customer support.
  • To **monitor and analyze usage** to improve the App's performance and features.

**We do NOT use your HubSpot contact data for marketing, advertising, or any purpose other than executing the specific throttling rules you configure.**

4. How We Share Your Information

ThrottleBot will not share, sell, rent, or trade your information with any third parties, except in the following limited circumstances:

  • **With Your Consent:** When you explicitly authorize us to do so.
  • **Service Providers:** We may employ third-party companies and individuals to facilitate our App (e.g., hosting, analytics). These third parties have access to your information only to perform these tasks on our behalf and are obligated not to disclose or use it for any other purpose.
  • **Legal Requirements:** If required to do so by law or in response to valid requests by public authorities (e.g., a court order).
  • **Business Transfers:** In connection with a merger, acquisition, or sale of assets, your information may be transferred.

5. Data Security

The security of your data is paramount. We implement reasonable administrative, technical, and physical safeguards to protect the information we collect from loss, theft, misuse, unauthorized access, disclosure, alteration, and destruction. However, no method of transmission over the Internet or method of electronic storage is 100% secure.

We use industry-standard encryption for data in transit and at rest where appropriate.

6. Your Data Rights

Depending on your location, you may have the following rights regarding your personal information:

  • **Access:** Request access to the personal data we hold about you.
  • **Correction:** Request that we correct any inaccurate personal data.
  • **Erasure:** Request that we delete your personal data (subject to legal and operational requirements).
